Registry Checks

Note:  All Providers should have registered users capable of conducting SIRI searches. To register, an email from the Executive Director or designee must be sent to dd.investigation@tn.gov, providing the names and position titles, business emails, and business phone numbers and addresses of up to three personnel, including the Executive Director. (For agencies operating in more than one of the grand regions, each office should sign up separately.) If you have any questions or run into any problems, please email the same mailbox, or reach SIRI Coordinator, Norah Glickstein, at 615-253-5024.

Monthly Registry Checks

DDA must ensure that all providers of 1915c services, Katie Beckett services, CHOICES Community Living Supports (CLS)/CLS-Family Model (FM) services, and Employment and Community First services are conducting required criminal background and registry checks as outlined in the Aligned Background Check Protocol effective July 1, 2024. Information from each provider will be compiled and submitted as a DDA deliverable to TennCare’s Office of Program Integrity on a monthly basis. Per the protocol, providers must check the following registries initially and on an ongoing monthly basis: OIG List of Excluded Individuals/Entities (LEIE), Systems for Award Management (SAM), and the TennCare Terminated Provider List (TTPL). A link to the Aligned Background Check Protocol can be found here.

Providers will no longer be required to submit attestations and information through the DDA website for monthly registry checks, as previously required for monthly OIG LEIE reporting. Instead, Quality Reviewers from the DDA Quality Monitoring unit will review your monthly registry checks during the Qualified Provider Review that is conducted as part of your Quality Monitoring (Quality Assurance) survey. The reviewers must be able to see documentation indicating that all of the required checks were conducted monthly and that any positive matches were reported immediately to DDA as well as evidence of the provider’s follow-up actions when staff are identified on any of the registry checks. Failure to comply with the requirements of the background check protocol may result in sanctions and/or other remedial actions as deemed appropriate by DDA and TennCare.

We hope that this change in how information is reported to DDA will ease the administrative burden on providers related to these requirements. If you have any questions please contact Tania Yoe, Assistant Commissioner for Quality Management, at Tania.Yoe@tn.gov or 615-532-5970.
